Job Description

This is an exciting part-time opportunity to join a small charity as an Assistant Operations Manager, supporting the delivery of a much needed advice service to the local community. If you have strong organisational skills, this would be a rewarding role in a friendly organisation.

Background

This Community Advice Centre is a small, vibrant, independent charity offering free, confidential and impartial advice. They believe face to face is the most effective medium for advice and the one which is especially important to vulnerable people. Nearly all the advisers are volunteers, and they offer advice on a wide range of issues including welfare benefits, consumer matters, debt and money, employment, family (children, domestic abuse and relationship breakdown) and housing. In addition, the specialist debt, housing and welfare rights caseworkers help clients manage their finances when things become overwhelming, advise about possession proceedings or represent clients at first-tier tribunal to challenge Department of Work and Pensions’ decisions.  They hold the Advice Quality Standard, a national quality mark for organisations providing free, independent advice to members of the public.

The Role

The Assistant Operations Manager will support the Advice Session Supervisor with whatever tasks are required to ensure the smooth and efficient running of the advice session.  This will include:

  • The accurate and efficient recording of case related information on the client management system
  • Welcoming and triaging clients who attend the centre (training will be given)
  • Advising on simple enquiries with the support of the Advice Session Supervisor
  • Supporting the volunteer advisers with administrative tasks

The Assistant Operations Manager will also support the Senior Manager with whatever tasks are required to ensure the sound ongoing governance of the organisation.  This will include:

  • Supporting fundraising and grant reporting
  • The development and adherence to policies and procedures
  • The maintenance of training records and organising staff training
  • Liaison with the IT support team when necessary
  • Supporting the biannual audit
  • Working with the other support staff including the bookkeeper, web manager and volunteer administrator

The Candidate

  • You will be resourceful, highly organised and have a strong attention to detail.
  • You will have experience in a client or customer facing role previously
  • You will be efficient and enjoy refining and following processes to ensure streamlined service delivery
  • You will have strong interpersonal skills and be empathetic and responsive to both clients’ and volunteers’ needs.
  • You will be mindful of organisational needs and willing to operate in a client facing capacity as well as in a business support role.
  • You will be able to prioritise your workload well, communicate clearly and effectively, work collaboratively with the other staff and volunteers and ensure policies and procedures are implemented consistently.
  • You will be empathetic to the needs of vulnerable people.
  • You will have experience of the needs of a small business.
  • Experience of MS Office.

Terms

  • Salary: £15/hr, plus workplace pension
  • Hours: Permanent, part-time, 25 hours a week
  • The Centre opens on weekdays between 9.30am-1.30pm, therefore the hours covered by the Assistant Operations Manager might be 9am - 2pm daily, but there may be flexibility to suit personal circumstances.
  • There may be some flexibility with regards to hours over the school holidays.
  • Free car parking.
