The Client

Our client is a London-based residential architecture practice specialising in challenging sites and complex briefs. We design and deliver distinctive, intelligently crafted buildings that enrich the lives of all those who use and enjoy them.

With over 30 years of experience, they are known for their creativity, rigorous practicality and technical nuts-and-bolts know-how. Collaborating with private clients, developers and contractors, they turn complicated briefs into robust ideas and buildable designs that create social, commercial and aesthetic value. Their work includes one-off homes, housing schemes, co-living communities, and mixed-use projects in London and the surrounding area.

Just around the corner from Holloway Road tube station, their studio is a welcoming and inclusive place to work.

It is an employee-owned business. The practice is a 50/50 gender split and two-thirds of our directors are women.

The Role

The are now looking for an enthusiastic part-time Administration Assistant to join their team.

The successful candidate will have experience of office administration and be confident to learn how to use ‘Total Synergy’ their project management software.

Key Accountabilities

Reception

  • Answer the phone
  • Manage the office keys and parking permits
  • Booking meetings for colleagues and arranging meeting schedules
  • Prepares tea and coffee for meetings

Office management

  • Deal with office supplies
  • Deal with office maintenance and improvements
  • Deal Subscription and licences renewals
  • Manage our service suppliers
  • Posting new job vacancies on various on-line platforms and assisting the directors in responding to applicants

Office and Project organisation

  • Organising filing systems and updating office databases (CRM etc)
  • Take on the administration of our project management system and assist with staff and job resourcing using Total Synergy (training in the software programme would be given)
  • Assisting with bids

  • Confident and friendly
  • Efficient and enthusiastic
  • Highly organised and detailed orientated
  • Strong IT skills
  • Excellent communicator
  • Prior experience within a similar administrative role

The Terms

  • This is a permanent role working 12 hours per week spread over three days (Monday, Wednesday and Thursday)
  • The role is office based located near Holloway Tube Station
  • 20 days holiday, plus bank holidays (pro-rata for hours worked)
  • Auto-enrol pension
  • A salary of £33-35k FTE is on offer (pro-rated to agreed hours)
