Job Description

We’re looking for a very strong administrator to join an established accountancy practice in Milton Keynes/Northampton area.  If you have exceptional attention to detail and are able to juggle multiple tasks, this would be an ideal part-time joining a small and friendly team.

Background

Our client, a leading accountancy practice, is looking for an office administrator to handle day to day office administration, support the accountants with essential client documentation and processes.  They are an established practice, with a small and friendly team.

The Role 

The Office Administrator is responsible for the back office administration of the office, supporting accountancy staff with admin tasks, providing a professional and efficient point of contact for clients, and ensuring the office environment is clean, safe and suitably equipped.

Duties include:

  • Answering the phones, meeting and greeting clients at the office, handling incoming and outgoing post, managing and ordering office stationery, equipment and general supplies;
  • Administrative support to all staff (typing letters, document editing, proof-reading, printing documents, filing);
  • Handling submission of accounts to Companies House, managing the receipt and return of client books and records, company secretarial tasks for clients, e.g. filing confirmation statements, director appointments and resignations, registered office changes and others;
  • Handling client onboarding, including setting up client files, client ID checks, issuing engagement letters and binding sets of accounts;
  • Maintaining the client database;
  • From time to time, supporting the accountants with basic bookkeeping functions (training will be given).

Required Skills:

  • Competency in MS Office software, especially Word, Excel and Outlook;
  • Experience of an accountancy software such as Xero, Quickbooks, Sage or similar is helpful but not essential.
  • Demonstrable experience in a busy administration role, ideally in a professional environment (accountants, solicitors, architects, etc) or a small firm environment;
  • Willingness to roll your sleeves up and “muck-in”.
  • If you have some knowledge of bookkeeping, this would be helpful, but not essential.
  • Good time management and organisation - ability to handle a busy workload, prioritise effectively and work to deadlines;
  • Excellent attention to detail;
  • Personable nature and ability to communicate effectively (written and spoken);
  • A "can do" approach with a good work ethic.

Hours

  • 21-30 hours per week.  You may work these hours across the week or across 3 or 4 days (Tues-Thurs are key days).  Please indicate your preferred working pattern on application. Core office hours are 9am-5pm although there is some flexibility if you need to start earlier (for example 8am).
  • Salary-£31,850 FTE* (pro-rated down for part-time hours)
  • The role is office based MK4 for the first six months before moving to Northampton (car essential).
  • NEST pension scheme.
  • 20 days holiday rising by one day per year to 25 after 5 years plus bank holidays (based on full time hours, this would be pro-rated down for part-time hours), plus bank holidays;
