Job Description

Part-time Membership Secretary & Office Administrator,  21 hours per week (3 days) Remote/Midlands, up to £28,000 FTE*

Our Client

Our client is a well-established professional membership organisation, supporting a network of members across the UK. With a strong focus on service, professionalism and community, they offer a collaborative and supportive working environment.

You’ll be part of a small, friendly office team, working remotely with occasional in-person team meet-ups in the Midlands.

The Role

This is a varied and hands-on role combining membership administration, member communications and wider office support. You’ll take ownership of the membership database and be the first point of contact for member enquiries, while also supporting governance processes including Board meetings.

Key responsibilities include:

Membership Administration

  • Maintaining and updating the membership database, ensuring accuracy & compliance
  • Processing new applications, renewals, amendments and cancellations
  • Preparing monthly direct debit schedules in collaboration with the bookkeeper
  • Issuing invoices and receipts
  • Sending welcome communications to new members
  • Monitoring renewals and issuing reminders
  • Managing member communication platforms (e.g. discussion lists)
  • Preparing membership reports for Board meetings

Member & General Communications

  • Acting as the first point of contact for member and general enquiries
  • Responding promptly and professionally via email and phone
  • Providing clear information on membership, subscriptions and processes

Office Administration & Governance Support

  • Providing general administrative support across the organisation
  • Managing shared inboxes and covering colleagues when needed
  • Maintaining organised digital filing systems
  • Supporting Board processes, including:
    • Preparing agendas and papers
    • Attending meetings
    • Producing accurate minutes
  • Assisting with event administration where required
  • Ensuring compliance with internal policies and data protection requirements

About You

You’ll be a highly organised administrator who enjoys working independently while staying connected to a wider team. You’ll take pride in accuracy, communication and delivering a great member experience.

We’re looking for someone who:

  • Has experience in an administrative or membership-based role
  • Is confident managing databases with strong attention to detail
  • Has experience preparing invoices and/or direct debit schedules
  • Communicates clearly and professionally, both written and verbal
  • Is confident taking accurate meeting minutes
  • Is proficient in Microsoft Office (Word, Excel, Outlook)
  • Can prioritise workload and meet deadlines
  • Handles confidential information with discretion

It would be great (but not essential) if you have:

  • Experience using CRM or membership systems
  • Experience supporting Boards or committees
  • Experience in a membership organisation or not-for-profit
  • Event administration experience

What’s on Offer

  • The role is offered on a part-time, permanent basis, working 21 hrs/wk (3 days).
  • A salary of up to £28k fte* is on offer depending on experience (£16,800 for 3 days).
  • The role is mainly remote with regular team meetings in the Midlands.
